Step by step
Open RSVP Tracking, or the Guests & RSVPs page inside the event.
Read the counts across the top: total, confirmed, declined, maybe, pending.
Filter to Pending to see exactly who has not replied.
Chase them — resend the invitation, or turn on deadline reminders in the form settings.
Set the status by hand for anyone who replies outside the form.
What you should end up with
Options and settings
- Automatic reminders
- Configured in the RSVP form settings as a number of days before the deadline.
- Manual status
- Set a guest to Confirmed or Declined yourself when they tell you in person.
Common mistakes
- Treating "maybe" as attending when ordering catering. Decide a cut-off and convert maybes to a yes or a no before final numbers.
- Forgetting plus-ones in the headcount. Check the plus-one column before you quote a number.
If something goes wrong
- A guest says they replied but shows as pending.
- They may have replied under a different name or email, creating a second entry. Search the full list for a near-match and merge by hand.
- The counts do not add up.
- Checked-in guests count as confirmed. Pending includes both never-invited and invited-not-replied.
