Import a guest list from a spreadsheet
Upload an Excel or CSV file, map your columns, and review duplicates before anything is saved.

What it is
A guided import that reads your spreadsheet, matches its columns to guest fields, flags duplicates and households, and shows you what it is about to do before it does it.
When to use it
When the list already exists somewhere else, which for most people is nearly always.
Who can use it
The event owner, and platform staff.
Where to find it
- Open an event → Guests & RSVPs → Import
Before you start
- A spreadsheet with one guest per row and a header row naming the columns.
- At least a name column. Email, phone, dietary needs and notes are all optional.
Step by step
Open your event, go to the RSVP tools and choose Import.
Upload your .xlsx or .csv file, or paste the rows directly.
Check the column mapping. Common headers are matched for you; correct anything it guessed wrong.
A column you do not map is simply ignored — nothing is lost from your file.
Review the warnings: duplicates against guests you already have, rows missing a name, and people it thinks share a household.
Confirm the import.

- Column mapping
- Which spreadsheet column feeds which guest field. You can change every one.
- Household grouping
- Groups people who share an address or surname so they can reply together.
- Duplicate handling
- Rows matching an existing guest are flagged before import rather than silently merged.
Common mistakes
- No header row. The first row is read as column names — without one, your first guest becomes the header.
- Names and emails in one column. Split them before importing.
- Importing the same file twice "to be safe". Check the duplicate warnings instead of importing again.
If something goes wrong
- The upload is rejected.
- Save the file as .xlsx or .csv. Numbers, Google Sheets and Pages formats are not read directly — export first.
- Every row is flagged as a duplicate.
- You have probably already imported this list. Cancel, and check the guest list before importing again.
- Guests imported without emails.
- The email column was not mapped. Map it and re-import only the missing rows, or add addresses by hand.
- A big file seems stuck.
- Large lists finish in the background. Leave the page and come back — the guests appear as they are processed.

- Import before you build the RSVP form. Seeing real names makes it obvious which questions you actually need.
