Ask once, see the totals, and hand a caterer a number rather than a story.
What it is
Two fields on every guest — meal preference with dietary restrictions, and accessibility needs — collected through the RSVP form and totalled for you.
When to use it
Always. It is far easier to ask on the form than to chase 80 people by text.
Who can use it
The event owner, and platform staff. Accessibility needs are sensitive — treat them as confidential.

- Open an event → Guests & RSVPs — the dietary breakdown sits with the guest list
- Turn the accessibility question on in the RSVP form settings
Step by step
In the RSVP form settings, switch on the accessibility question.
Include a dietary or meal-preference field on the form.
Let guests reply.
Read the dietary breakdown on the guest page — it totals restrictions and meal choices across everyone confirmed.
Give those totals to your caterer, and pass accessibility needs to your venue.
What you should end up with
Common mistakes
- Offering only fixed options. Someone always has a combination your list did not cover — leave a free-text box.
- Collecting accessibility needs and then not sending them to the venue, which is the only reason to collect them.
If something goes wrong
- The breakdown looks short.
- It counts confirmed guests only. Pending guests have not answered yet.
- A guest left the dietary box empty.
- Blank means "nothing to declare" and is stored as no requirement — it will not appear as a category.
Worth knowing
- Ask for accessibility needs in a way that invites an answer: "Is there anything we should know to make the day comfortable for you?" gets far better replies than a checkbox.
