Check guests in on the day
Scan QR codes or search by name, watch arrivals live, and handle the people who are not on the list.

What it is
Guests arrive, a device scans their QR code or you find them by name, and they are marked as arrived. A live dashboard shows the running count, and every action is written to an audit log.
When to use it
On the day, at the door.
Who can use it
Whoever holds a registered device link. The dashboard and audit log are for the event owner.
Where to find it
- Open an event → Check-In → Dashboard for the live view
- Open an event → Check-In → Report for the audit log
Before you start
- Registered devices — see Set up check-in devices.
- Guests with QR codes, if you are scanning rather than searching.
Step by step
Open the check-in screen on each door device.
Scan the guest's QR code, or search their name.
Confirm the match. The guest is marked as arrived and, if you have a seating chart, their table is shown.
For someone not on the list, or whose record says declined, a Manager device can override — and must give a reason.
Watch the live dashboard for the running count and any escalations from the door.

Options and settings
- Override
- Manager-only. Admits a guest whose record says otherwise. The reason is recorded in the audit log.
- Escalation
- A kiosk or staff device can pass a problem guest to a manager instead of guessing.
- Audit log
- Every check-in, block and override, with device and time. Read it after the event.
Common mistakes
- Relying on venue wifi with no fallback. Have one device on mobile data.
- Checking a household in as one person. Each member has their own record.
- Not briefing the door team on what to do with an unexpected guest. Decide the rule before the doors open.
If something goes wrong
- A QR code will not scan.
- Search the guest by name instead and carry on — do not hold the queue. See A QR code will not scan.
- The guest is not in the list.
- Have a Manager device admit them with an override and a reason, then add them to the guest list afterwards.
- The live dashboard is not updating.
- Reload it. The door devices keep working regardless — the dashboard is a view, not the record.
Worth knowing
- Print a paper copy of the guest list. It has never once been the thing that failed.
